This Privacy Policy explains how SpeakerFlow, LLC ("SpeakerFlow," "we," "us," or "our") collects, uses, and shares personal information when you visit speakerflow.com (the "Site"), contact us, join our email list, or become a client.

By using the Site or our services, you agree to the practices described here. If you don't agree, please don't use the Site.

Scope of This Policy

This policy covers personal information we handle as a business, meaning information about our website visitors, prospects, and the people we work with directly at our client companies.

When we build, migrate, or manage systems on behalf of a client and handle data that belongs to that client's business (for example, their own customer records), we act as a service provider processing data on the client's instructions. That handling is governed by our Terms of Service, not by this policy.

Information We Collect

Information you give us directly. When you fill out a form, book a call, email us, or sign up as a client, we may collect:

  • Name
  • Email address
  • Phone number
  • Company and role
  • Anything else you choose to include in a message or form

Payment information. When you pay us, payments are processed by Stripe. Stripe handles your card details directly under its own security standards, and we don't store full card numbers. We receive transaction records (such as amount, date, and billing name) to manage your account.

Client onboarding information. If you become a client, we collect information about your business needed to deliver the engagement, including details required to set up and configure your systems.

Call recordings. With your consent, we may record calls and meetings using AI notetaking tools so we have accurate notes and can improve our service. If you're on a call with us and prefer not to be recorded, just let us know.

Usage information collected automatically. When you visit the Site, we automatically collect certain technical information such as your IP address, browser type and version, pages viewed, time spent, referring pages, and general device information. We collect this through cookies and similar technologies (see below).

Cookies and Tracking Technologies

Cookies are small files stored on your device. We use them, along with similar technologies, to operate the Site, understand how it's used, and support our marketing.

The main tools we use are:

  • Google Analytics 4 (GA4) and Google Tag Manager: to understand how visitors use the Site.
  • Google Search Console: to monitor how the Site performs in search.
  • LinkedIn Insight Tag: to measure the performance of our LinkedIn activity and to show ads to people who have visited our Site (see Advertising below).

You can control cookies through your browser settings. Most browsers let you refuse cookies or alert you when one is being set. Note that some parts of the Site may not work properly if you disable cookies.

You can opt out of Google Analytics specifically by installing Google's Analytics Opt-out Browser Add-on.

We do not currently display a cookie consent banner. If you're visiting from a region that requires prior consent for non-essential cookies, you can control this through your browser settings and the opt-out links in this policy.

Advertising

We advertise on LinkedIn, with both ads targeted to new audiences and remarketing ads shown to people who have previously visited our Site. We reserve the right to advertise on other platforms that permit it, and if we begin using their tracking technologies, we'll update this policy to reflect it.

You can control the ads you see and opt out of interest-based advertising through your LinkedIn ad settings and through industry opt-out tools like the Digital Advertising Alliance.

We do not sell your personal information.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Respond to your inquiries and provide support
  • Schedule and conduct calls and meetings
  • Process payments and manage your account
  • Send you newsletters, offers, and updates about our services (you can unsubscribe anytime)
  • Understand how the Site is used and improve it
  • Detect, prevent, and address technical or security issues
  • Comply with our legal obligations

We primarily use email for marketing communications, and we may occasionally reach out to you individually by text or phone. You can opt out of marketing emails at any time using the unsubscribe link in any email, and you can ask us to stop other communications by contacting us at hello@speakerflow.com.

How We Share Your Information

We don't sell your personal information. We share it only in these situations:

Service providers. We use trusted third parties to run our business, and they access your information only to perform work for us. These include:

  • Zoho: our CRM and forms, where your contact information is stored
  • Stripe: payment processing
  • Calendly: scheduling calls
  • Google: analytics and site performance
  • LinkedIn: analytics and advertising
  • AI notetaking tools: call recording and notes

Legal reasons. We may disclose information if required by law, or in good faith to comply with a legal obligation, protect our rights or property, prevent wrongdoing, or protect the safety of others.

Business transfers. If SpeakerFlow is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Data Retention

We keep personal information only as long as we need it:

  • Marketing and prospect contacts: until you unsubscribe, ask us to delete your information, or we remove you for prolonged inactivity.
  • Client information: for the length of our engagement and as long as needed afterward for legitimate business or legal purposes. We delete client data on request.
  • Usage data: generally kept for a shorter period, unless needed longer for security or to improve the Site.
  • Call recordings: kept as long as needed for the purpose they were made, and deleted on request.

How We Protect Your Information

We use commercially reasonable safeguards to protect your information, including access controls and a dedicated password manager for handling any credentials. No method of transmission or storage over the internet is completely secure, so while we work to protect your information, we can't guarantee absolute security.

International Data Transfers

We are based in the United States, and we store and process information here. If you're located outside the U.S. (including in the EU, UK, or Australia) and you provide information to us, that information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

Where we handle personal information of individuals in the EU, UK, or Australia, we take steps to ensure it's protected in line with applicable law, including using appropriate contractual safeguards such as Standard Contractual Clauses where required. By using the Site or providing your information, you consent to this transfer.

Your Rights and Choices

We extend the following rights to everyone, regardless of where you live:

  • Access: ask what personal information we hold about you
  • Correction: ask us to fix inaccurate or incomplete information
  • Deletion: ask us to delete your personal information
  • Opt out of marketing: unsubscribe from our emails at any time
  • Opt out of remarketing: using the tools described in the Advertising section

To make any of these requests, email us at hello@speakerflow.com. We may need to verify your identity before responding.

A note on U.S. state privacy laws. Based on our size and data practices, SpeakerFlow is not currently subject to comprehensive U.S. state privacy laws such as the California Consumer Privacy Act (CCPA/CPRA). We extend the rights above voluntarily as a matter of good practice.

For individuals in the EU, UK, and Australia. Where these laws apply to our handling of your information, you also have rights to object to or restrict processing, to data portability, and to withdraw consent where we rely on it. Our legal bases for processing are: performing a contract with you, your consent, and our legitimate business interests where they aren't overridden by your rights. You also have the right to lodge a complaint with your local data protection authority.

"Do Not Track" and Global Privacy Control

Some browsers offer "Do Not Track" (DNT) or Global Privacy Control (GPC) signals. There is no consistent industry standard for how to respond to DNT, and because we are not currently subject to laws that require honoring GPC, we do not respond to these signals at this time. You can control tracking using the cookie settings and opt-out methods described in this policy.

Children's Privacy

Our Site and services are intended for businesses and professionals and are not directed to children. We do not knowingly collect personal information from anyone under 18, and specifically not from children under 13, as defined by the Children's Online Privacy Protection Act (COPPA). If you believe a child has provided us with personal information, please contact us and we'll take steps to remove it.

Links to Other Sites

The Site may contain links to third-party websites we don't operate. We're not responsible for the content or privacy practices of those sites, and we encourage you to review their privacy policies.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll post the updated version on this page and update the effective date above. For significant changes, we'll provide a more prominent notice. We encourage you to review this policy periodically.
